Find the date that actually matters
A renewal has at least three dates: the renewal date, the last date to give notice or change quantities, and the date your organisation must decide by so that approvals can happen in time. Order contracts by the last of these that is still useful, not by the renewal date.
Auto-renewal is common. If the notice date passes without action, the contract usually continues for another term on the conditions it states, which may differ from the price you pay today.
Record the terms that change the cost
Keep the source of every term: the document and section it came from, and whether someone has checked it. A renewal decision based on a remembered price is hard to defend.
| Term | Why it matters | Where to find it |
|---|---|---|
| Term dates and auto-renewal | Whether the contract continues without a decision | Order form, master agreement |
| Notice period | The last date to cancel or change quantities | Order form or general terms |
| Seat quantity and price | The committed cost of the next term | Order form, latest invoice |
| Discounts and when they end | Introductory prices often end at the first renewal | Order form, quote |
| Usage pricing | Rates for usage outside the seat price | Order form, price sheet |
| Quantity changes | When seats can be added or removed | Order form, licensing terms |
Microsoft 365 Copilot: renewal and the seven-day window
Through a Cloud Solution Provider under new commerce, subscriptions renew automatically by default, and a change to the licence count at renewal can be scheduled only while auto-renew is on. After renewal there is a seven-day window, starting at the moment the renewal completes, to cancel or reduce licences. After that the count is fixed until the next renewal, and the partner is billed for the full term. Source: Microsoft Partner Center, new commerce subscriptions.
Bought directly from Microsoft, recurring billing is on by default. Turning it off does not cancel the subscription; it stays active until it expires. Under a Microsoft Customer Agreement, a reduction made after the first seven days takes effect on the first invoice after the renewal date. Agree the new quantity before the renewal date and confirm that your partner or administrator has scheduled it. Check the renewal price as well as the quantity: Microsoft’s 1 July 2026 price update for Microsoft 365 suites, which excluded standalone Copilot, reached existing customers at renewal. Enterprise Agreements have their own terms, which this guide does not cover. Source: Microsoft 365 pricing update.
OpenAI, Anthropic and GitHub: where the terms sit
ChatGPT Enterprise. OpenAI’s published Services Agreement says the renewal terms, and whether the services renew automatically, are listed on the order form. Notice of non-renewal or a scope reduction must be given at least thirty days before the next renewal term starts, and a renewal without a new order form lasts as long as the previous term. Reducing the licence count, quantity or minimum commitment can cost discounts based on the previous purchase, and a minimum commitment is non-cancellable except as the law or the agreement allows. Claude Enterprise. Self-serve plans are billed annually, and reductions to the seat count take effect only at renewal. On plans bought through Anthropic’s sales team, seat changes and cancellation go through your Anthropic contact; look for the renewal and notice terms in your agreement. Organisations on older Enterprise seat types move to the single Enterprise seat, a seat fee plus usage at API rates, at their next renewal, so price the next term on that basis. GitHub Copilot. Seats are billed by monthly cycle, and a removed seat is billed until the cycle ends, without a prorated refund. Since 1 June 2026, usage beyond the pool of included AI Credits is billed on top of the seats, so review the credit pool together with the seat count. Source: GitHub changelog, 28 August 2026.
If an agreement does not state a notice period, ask the vendor to confirm it in writing well before the renewal.
Price the next term before negotiating
Compare the cost of the next term under the current terms and under the vendor’s proposal, using the same forecast usage for both, so that only the terms differ. Label a quote as unconfirmed until it is in writing.
Bring unused seats into the same decision: a renewal is often the one point at which the seat count can go down. Find unused AI licences before the quantity is fixed.
A renewal checklist
- Is the notice deadline recorded for every AI contract, with its source?
- Is there an internal decision date early enough for approvals?
- Do you know the price after any introductory discount ends?
- Has the next term been priced at forecast usage under both current and proposed terms?
- Have unused seats been reviewed before the quantity is fixed?
- Does each renewal decision have a named owner?
