How a SpendAssure pilot works

A pilot starts from data you already have and gives you a first report 10 days after we receive it. We agree the duration and success criteria with you before it begins.

What you provide

No new integrations are needed to begin. Read-only access to provider APIs, through a connector in your environment, is needed only for budget alerts.

  • Invoices

From AI vendors, licensing partners and cloud agreements, for the period we agree with you.

  • Exports from provider consoles

Usage and billing exports, for example from the Microsoft 365 admin center or Azure Cost Management, and from the admin consoles of your other AI providers.

  • Contracts

Order forms, price sheets and renewal terms, so that every invoice can be checked against what was agreed.

  • Teams and cost centres

Optional. A list of teams or cost centres, if you want spending mapped to them from the start.

What you receive, and when

Days are counted from when we receive your data.

  1. Day 10

    First report

Where your organisation spends on AI, through which billing routes, and the first findings, each with its evidence and an estimated amount.

  2. Day 45

    Full register

Every AI tool and service by team and project, with an owner for each item and the source of every figure.

  3. Day 90

    Forecast

A forecast against your approved budget in several scenarios, with exchange rates and the renewal calendar taken into account.

After the pilot we can continue as an ongoing service: we maintain and update the register, the forecast and the renewal calendar.

How we handle your data

SpendAssure works with billing, usage and contract data. It never needs the content of what people ask AI tools.

Read about data security
  • Read-only access, with no changes to your systems or provider accounts
  • No prompts or model responses, only usage, cost and billing data
  • Invoices and contracts analysed without external AI providers
  • Used only for our work together, under an NDA and a GDPR data processing agreement

Questions about the pilot

Do we need to install anything?

No. A pilot starts from files you send us. A connector is installed, inside your infrastructure and in read-only mode, only if you want budget alerts based on provider APIs.

Will you change any settings at our AI providers?

No. Access is read-only. Decisions such as removing unused seats stay with your team; SpendAssure records them and checks the result on later invoices.

How long does a pilot take?

The first report comes 10 days after we receive your data, the full register at 45 days and the forecast at 90 days. We agree the duration and success criteria with you.

What does a pilot cost?

We agree the scope, duration, success criteria and commercial terms with you before the pilot starts.

What paperwork is involved?

An NDA and a data processing agreement under the GDPR. We use your data only for our work together.

Start with a demo

We show you the workspace on sample data, then agree with you what a pilot on your own invoices, exports and contracts would cover.
